What is a Project?

The Project Management Institute defines a project as “A temporary endeavor, with a definite beginning and end, undertaken to create a unique product, service, or result.” 

  • A project is temporary in that it has a defined beginning and end in time, and therefore defined scope and resources.  

  • Once the final deliverable is achieved the project will cease to exist because its objective has been achieved.  

  • A project has a definitive start and end: It cannot continue forever. 

  • Resources, both people and financial, assigned to a project are temporary.  The budget is limited.  People are not permanently assigned and once the project is complete, they return or continue with their previous assignment. 

  • A project is unique in that it is not a routine operation, but a specific set of operations designed to accomplish a singular goal.  The project is undertaken to produce a unique product, service, or result. 

  • Once a project is complete the products, services or results created from the project are often transitioned to operations. 

What is considered a "project" under Digital Transformation?

A Digital Transformation project is meant to improve processes or procedures within the institution, by way of technological means, and positively impact the UNBC community. The digital projects will include IT components, but will be led by the requesting department(s), and not by the Information Technology Services (ITS) department. Project Portfolio Management associated with Digital Transformation will be led by the Digital Transformation unit, and some project management support will be provided.  

IT components refers to information technology products and services. This can encompass hardware, software and applications running on or accessing the university's infrastructure, and the human resources that support them. For Digital Transformation, this includes but is not limited to: 

  • End user and enterprise wide applications, on site and cloud (e.g. Ellucian Banner, SalesForce, TargetX, Raiser's Edge, FAST); 

  • Instructional technology (e.g. classroom multi-media systems and services, distance learning technologies). 

Projects with IT components that are not in this list, such as IT connectivity infrastructure, video, devices, and security infrastructure, should be submitted via an ITS Help Desk system as a request for service or support. 

How do I initiate a project?

All potential Digital Transformation projects need to have a project request created and submitted through Team Dynamix. The objective of the request is to provide the Digital Transformation unit with the information necessary to determine the initial size and complexity of the project, classify the project, and route the next steps. 

What happens next?

Submission of the project request in Team Dynamix triggers automated creation of a project ticket in TeamDynamix, and at this point the request will follow the process defined as part of Digital Transformation Governance. 

How do I complete a project request in TeamDynamix?

  1. Select "Request Digital Transformation Project" 

  1. Fill in Project Request form 

  1. Click "Save" at the top of the page 

  1. Click "Review and Submit" 

  1. Provide information in each section on the left hand menu under “Business Case" 

  1. Once all sections are complete, click "Submit" on the Review and Submit page 

  1. Click "Ok" if you want to submit, the information will no longer be editable 

Helpful Information 

  • All projects must have a Sponsor name attached (usually the Dean or Director or your department), so please ensure you have their approval before submitting the project request. 

  • You may "Save" this project and revisit it for edits and changes prior to submission. 

  • The link to Review and Submit is found on the left-hand menu. 

How do I view my existing project requests and projects?

Please sign in using the link in the top right corner of your screen to access. Once signed in, to view your project information, including the status and project news feeds, click on the Projects tab. To view your project requests, including status, click on Services tab/Project Requests.
