If you have previously connected your calendars to Zoom with Basic Authentication, you will need to reconnect using OAuth 2.0.

Note: If you do not update the authorization type to OAuth 2.0, this will cause calendar integrations to be disrupted.

Zoombombing refers to an uninvited participant gaining access to a session in which they typically share offensive images or use inappropriate language to disrupt online meetings and seminars. UNBC ITS is taking proactive efforts to safeguard the safety of our community, meetings, and classes.

What to do in the Event of a Zoombombing

During the Disruption:
 
In the event of a disruption, use on or more of the following options:
 
  • Remove the disruptor from the meeting: Click participants, move your cursor over the disruptor’s name, select more, then select remove. Once removed, the disruptor won't be able to rejoin the meeting.
  • Put the disruptor in the waiting Room: Click participants, move your cursor over the disruptor’s name, select more, then select put in waiting room.This can be used without the waiting room being activated. Then, if you'd like, you can re-admit the person.
  • Mute the disruptor’s audio: Click participants, move your cursor over the disruptor’s name, select mute. Instead, you can click mute while hovering over the disruptor's video feed.
  • Stop the disruptor’s video: Click participants, move your cursor over the disruptor’s name, select more, select stop video. Instead, you can click the three dots icon when you are over the disruptor's video stream and select stop video.

After the Disruption

Please email itsecurity@unbc.ca and include as much of the following information as possible:

  • The email address of the host of the Zoom Meeting or Webinar.
  • The meeting or webinar ID or URL.
  • The display names of any suspected disrupters.
  • The nature of the disruption (what occurred?)
 

In Meeting Security Options

Lock Meeting: The host and co-host can use this feature to stop anyone from joining the meeting, even if they have the meeting ID and passcode.

Enable Waiting Room: The host can manage when a participant joins the meeting by using the waiting room function. You as the meeting host have the option of allowing participants in one at a time or holding everyone in the waiting area and allowing them all in at once. Before you set up your meeting, select someone to act as co-host, who can add people from the waiting room after the meeting starts to lessen interruptions and distractions. (Hover over the name of the participant who is going to be a co-host, choose more, select make Co-Host)

Remove Participant: The host or co-host can remove a participant from the meeting using the Remove Participant feature.  Unless you have the "Allow removed participants to rejoin" setting selected, the removed user(s) won't be allowed to rejoin. A red remove button will be visible next to each participant in the list if you choose "Remove Participant.". To remove that specific participant, click this button.

Suspend Participants Activities: Clicking “Suspend Participants Activities” will cease all video, audio, in-meeting chat, annotation, screen sharing, and recording during that time, and breakout rooms will end.

User Risk Policy:  As recommended by Microsoft, ITS will be implementing the user risk policy which identifies and reacts to user accounts that might have had their credentials compromised. When your account is identified as being at risk, you may be prompted to create a new password.
 
What can trigger my account to be at risk?
 
  • Users with leaked credentials.
  • Sign-ins from anonymous IP addresses.
  • Impossible travel to atypical locations.
  • Sign-ins from infected devices.
  • Sign-ins from IP addresses with suspicious activity.
  • Sign-ins from unfamiliar locations.

Virtual Desktop upgrade: Our Virtual Desktop Infrastructure (VDI) has now been upgraded to Windows 11.

What is the Virtual Desktop Infrastructure? 

The UNBC Virtual Desktop Infrastructure (VDI), provides instructors, students, and staff access to a Windows 11 desktop. It comes with popular software already installed and can be accessed from any location or device.
UNBC ITS is continuously adding new features to improve the functionality of the virtual desktop; we appreciate your patience and understanding during this transition.

ITS Information Notice: Changes to Microsoft Teams Meeting Policies to improve Security || August 9th
 
 ITS will be implementing the following changes to Microsoft Teams:
 
  • Only the user with the “Organizer” role are allowed to present in Teams meetings.
    • Note: Organizer’s can assign the Co-Organizer role to a user by going into meeting options à choose co-organizers.
  • Only invited users will be automatically admitted to Teams meetings

 ITS Maintenance Notice: VoIP in NCCC (Quesnel), Thursday, August 11th  || Time: 10:00am

UNBC Staff and Faculty working in Quesnel will be integrated into the main UNBC phone system on August 11th , 2022. Due to a change in the phone infrastructure at the NCCC campus that UNBC and CNC share, UNBC ITS will be extending our phone system to Quesnel. 
The staff and faculty at the NCCC campus will all receive new 5-digit local numbers (4xxxx) , the UNBC phone book will be updated to reflect these changes by the afternoon of August 15th
 
Note: The Quesnel UNBC main phone number (250-991-7540) and fax number (250-991-7528) remain unchanged.

ITS Information Notice: Introducing Number Matching for Multi-Factor Authentication Push Notifications
Simple password protection is no longer sufficient to protect your data and resources, due to the rise in cyber threats in recent years. The majority of us at UNBC are now accustomed to Multi-Factor Authentication (MFA) using the Microsoft Authenticator app on our mobile devices, using either Push to Approve or One Time Password modes (the latter requiring the manual entry of a six-digit code from the authenticator app or hardware token).
The "Number Matching" feature is a security enhancement to the existing push approval prompt in the Microsoft Authenticator app on your mobile device(s). When you login to an MFA-protected application, you will be presented with a 2-digit number. You will need to type that number into the Microsoft Authenticator app prompt, to complete the authentication process.
Here is an example prompt. The one you receive may not look exactly like this, as Microsoft is continually improving and evolving their applications and services.

ITS Information Notice: Microsoft will be disabling Basic Authentication for all customers using M365 email services. 

What is changing? 
  
Microsoft will be disabling Basic Authentication (also known as Legacy Authentication) on its hosted email service, to enhance system security. To continue accessing your UNBC email after this change is made you must use a recent official Microsoft email client, or an up-to-date third-party email client that supports Modern Authentication (OAuth2). 
  
You will need to update your respective application(s) based on the following general guidance: 
  
  1. iOS/iPadOS: 
  • Apple Mail app: Remove & re-add your UNBC account 
  • Use the Microsoft Outlook app 
  1. Android:  
  • Use the Microsoft Outlook app 
  1. Windows & MacOS: 
  • Use Microsoft Outlook 365 (part of Microsoft 365 Apps for business suite, aka Office 365) 
  • Use any third-party mail application that supports Modern Authentication (OAuth2), such as up-to-date Thunderbird 
  
When will this change happen? 
   
Legacy authentication will be disabled on July 15th. Please make the recommended changes prior to that date.

Microsoft will be disabling Basic Authentication (also known as Legacy Authentication) on its hosted email service, to enhance system security. To continue accessing your UNBC email after this change is made you must use a recent official Microsoft email client, or an up-to-date third-party email client that supports Modern Authentication (OAuth2). 
  
You will need to update your respective application(s) based on the following general guidance: 
  
  1. iOS/iPadOS: 
  • Apple Mail app: Remove & re-add your UNBC account 
  • Use the Microsoft Outlook app 
  1. Android:  
  • Use the Microsoft Outlook app 
  1. Windows & MacOS: 
  • Use Microsoft Outlook 365 (part of Microsoft 365 Apps for business suite, aka Office 365) 
  • Use any third-party mail application that supports Modern Authentication (OAuth2), such as up-to-date Thunderbird 
  
When will this change happen?

ITS Information Notice: Starting October 2022 Microsoft will be disabling basic authentication for all customers using M365 email services.
 

Microsoft will be disabling basic authentication to access data hosted in/on its services. In order for you to be able to maintain your connection, you will need to update your respective applications based on the following general guidance:

2.Android – Use Outlook for Android

3.MacOS -Use an application that supports modern authentication (thunderbird/outlook for Mac)

As of March 23rd, ITS will be enabling the Safe Links & Safe Attachments feature in the M365 security suite. 

What is Safe Links and Safe Attachments?

The Safe Links and Safe Attachments service are part of Microsoft's Office 365 Advanced Threat Protection (ATP) for enterprise organizations. Safe Links and Safe Attachments are designed to protect students, faculty, and staff from email phishing attempts, and links/web sites or email attachments that contain malicious software. The service will mostly be invisible to you because it works behind the scenes to protect you.
 
How do I know I am protected by Safe Links?

You can verify that Safe Links is working by hovering your mouse pointer over any link that you have in an email, SharePoint, OneDrive, etc.
If you look at the URL that is displayed, it will begin with something like: "https://can01.safelinks.protection.outlook.com/?url . . .".  This indicates that Safe Links has analyzed the link and is protecting you in the event the site is malicious.
 
The protection service is handled within Office 365 so it will most likely be transparent to you, the end user. If you click on a link in an email, SharePoint, OneDrive or Microsoft Teams that takes you to a site that does not contain malicious software, you will be allowed access to the site and proceed normally. However, if a link is identified as malicious, or a link is determined to be a phishing link, after clicking on the link a Safe Links screen will appear indicating the web site cannot be accessed. This protects you, and your workstation from infection. The protection page looks like this:




​How do I know I am protected by Safe Attachments?
The Safe Attachments service scans email attachments to detect if the attachment contains any malicious software. If none is found, the attachment is sent as normal. If malicious software is found, the bad attachment will be removed and the email sent to the receiver will contain a notice that the attachment was identified as containing malware and the attachment will have been deleted. An “un-delete” process is in place if the need arises. Please contact the service desk.
