ITS Maintenance Notice: Network Maintenance || Monday, January 23rd || Time: 5:30pm
 
Network Maintenance for Administrative Building - Charles J McCaffray Hall: ITS will be performing a Network Upgrade in the West Side of the Administrative Building (Charles J McCaffray Hall) on the 3rd floor that will impact offices 3053 to 3085.
The Data Network and Phone system will be offline for up to 15 minutes while the system reboots.
 
Note: If you are experiencing any issues with your phone after the maintenance, please email support@unbc.ca.

ITS Information Notice: Service Desk will close down early on December 2nd
 
The Service Desk will be closed on December 2nd from 11:00am to 4:30pm for a training workshop. The Service Desk will resume regular support hours on December 5th at 8:00am.
 
Note: If you have an appointment with the Service Desk on December 2nd and have not heard back to reschedule, please contact the service desk at your earliest convenience.
 
 
ITS Maintenance Notice: Emergency Phone System Reboot || Wednesday, November 30th || Time: 9:00pm
 
ITS will be performing an Emergency Phone System Reboot tonight at 9:00pm, this restart is part of the troubleshooting and resolution of the phone issues we have been experiencing over the last few days.
 
The primary phone server will restart; phones may experience a brief interruption while registering to the secondary server. Active calls during this reboot may be dropped.
 
Note: If you are experiencing any issues with your phone after the reboot, please email support@unbc.ca.

ITS Information Notice: Update: Phone System Issue -  Unexpected Rebooting
 
ITS has enabled some changes to the phone system to fix the unexpected rebooting issue. Thank you for your patience while we work with our service providers to resolve this issue.

ITS Information Notice: File Sharing Palo Alto Policy Change as of November 22nd

UNBC ITS is implementing a system change that will enhance security related to file sharing applications. If you have any issues with specialized file sharing protocols such as torrents, please contact the service desk.
 
Please ensure that you have the legal permission to share or make public any content on the UNBC network. If you distribute copyrighted information without authorization, including through illicit peer-to-peer file sharing, you could face disciplinary action in addition to legal repercussions.
 
Note: This will not affect services such as Microsoft Teams, One Drive or Google Drive.

SSO Integration for desktop.unbc.ca: When you log into the virtual desktop (desktop.unbc.ca) your sign on experience is going to look different. Remember to enter your username as username@unbc.ca, not First.Last@unbc.ca.

UNBC ITS is making changes to the sharing permissions in SharePoint Online & OneDrive to make it easier to protect your data from unauthorized access.
 
When is this Happening?
 
This change will be implemented as of November 9th.
 
What is Changing?
 
Going forward, the default will be changed from sharing documents to everyone (including students) to sharing to people with existing access, or to people you specify.
 
Before the change - Only people in your organization (UNBC): gives anyone in your organization who has the link access to the file, whether they receive it directly from you or forwarded from someone else.

After the change - Specific people: gives access only to the people you specify, although other people may already have access. If people forward the sharing invitation, only people who already have access to the item will be able to use the link.

To share files and folders, select the share button. You will be provided with the following options email or copy link.
 

 

 
ITS Information Notice: Zoom – Adding and Sharing your pronouns
 
Zoom users can now add pronouns to their profile and choose when to share them during meetings and webinars.
 
What's needed to add and share your pronouns?
  • Zoom desktop client
    • Windows: 5.7.0 or higher
    • macOS: 5.7.0 or higher
    • Linux: 5.7.0 or higher
  • Zoom mobile app
    • Android: 5.7.0 or higher
    • iOS: 5.7.0 or higher
How to add pronouns to your profile:
 
  1. Sign in to the Zoom web portal.
  2. In the navigation panel, click Profile.
  3. On the right side of your name, click Edit.
  4. In the Pronouns field, enter your pronouns.
  5. In the How would you like to share your pronouns? drop-down field, choose from the following options:

 
  • Always share in meetings and webinars: Your pronouns will appear next to your display name automatically in any meetings that you host or join, and any webinars that you’re the host or panelist for.
  • Ask me every time after joining meetings and webinars: You will be asked if you want your pronouns to appear next to your display name in every meeting that you host or join, and any webinars that you’re the host or panelist for.
  • Do not share in meetings and webinars: Your pronouns will not appear next to your display name in any meetings or webinars. You will have to manually choose to share your pronouns.
    Note: Even if you choose not to share your pronouns in meetings or webinars, your pronouns will still appear in your profile card and be visible to your Zoom contacts if you have entered them in the Pronouns field.
  1. Click Save.

ITS Information Notice: Microsoft will be retiring support for iOS 13 and Mac OS 10.14 on the To Do iOS and Mac applications.
 
Microsoft recommends updating to version 14 and above for iOS and 10.15 and above for MacOS to continue using the To Do application on your device. If you do not upgrade to the newest version you will no longer be able to use the To Do application.
 
Note: If automatic upgrades are not set up on your device, please visit the links below to upgrade your device.
   
When will this happen?
 
This change will go into effect mid-November.

Wireless AP Upgrades: ITS will be performing upgrades and maintenance on the Wi-Fi, access will be down in different areas for up to 20 min. as each AP is updated

ITS Information Notice: Equipment E-Waste Collection || October 25th to October 27th

ITS will be conducting an equipment e-waste collection from October 25th to October 27th . Please bring any outdated or unneeded UNBC assets such as computers, workstations, laptops & monitors to the IT Service Desk located on the second floor of the Teaching Lab, room 8-264. ITS will handle the disposal of this equipment safely and securely.
 
If you have the following models please note, these are well past the end of life and are no longer supported by ITS:
 
Towers
  • OptiPlex 900 series
  • OptiPlex 9000 series
Laptops
  • Latitude E6000 series
  • Latitude E7000 series
Monitors: Any monitor with the Green Asset sticker that is less than 38000 is not compatible with new equipment.

ITS Information Notice: Action Required - Zoom Software Policy
 
Zoom will implement a new Software Lifecycle policy under which client versions lower than a minimum version will be blocked, and they will enforce a minimum version on a quarterly schedule – the first weekend of November, February, May & August. Users who are running an end-of-life version after November 5th, will not be able to join meetings via Zoom Client and will be prompted to update, or join from the Web browser.

If you have previously connected your calendars to Zoom with Basic Authentication, you will need to reconnect using OAuth 2.0.

Note: If you do not update the authorization type to OAuth 2.0, this will cause calendar integrations to be disrupted.

ITS Information Notice: Introduction to Windows 11 operating system || September 16th || Time: 9:00am to 10:00am

ITS will be presenting an introduction to Windows 11 operating system as featured in our virtual desktops this Friday, September 16th from 9:00am to 10:00am in room 8-362.  

 ITS Information Notice: Securing your Public Zoom Meetings & Webinars
 
Zoombombing refers to an uninvited participant gaining access to a session in which they typically share offensive images or use inappropriate language to disrupt online meetings and seminars. UNBC ITS is taking proactive efforts to safeguard the safety of our community, meetings, and classes.

What to do in the Event of a Zoombombing

During the Disruption:
 
In the event of a disruption, use on or more of the following options:
 
  • Remove the disruptor from the meeting: Click participants, move your cursor over the disruptor’s name, select more, then select remove. Once removed, the disruptor won't be able to rejoin the meeting.
  • Put the disruptor in the waiting Room: Click participants, move your cursor over the disruptor’s name, select more, then select put in waiting room.This can be used without the waiting room being activated. Then, if you'd like, you can re-admit the person.
  • Mute the disruptor’s audio: Click participants, move your cursor over the disruptor’s name, select mute. Instead, you can click mute while hovering over the disruptor's video feed.
  • Stop the disruptor’s video: Click participants, move your cursor over the disruptor’s name, select more, select stop video. Instead, you can click the three dots icon when you are over the disruptor's video stream and select stop video.

After the Disruption

Please email itsecurity@unbc.ca and include as much of the following information as possible:

  • The email address of the host of the Zoom Meeting or Webinar.
  • The meeting or webinar ID or URL.
  • The display names of any suspected disrupters.
  • The nature of the disruption (what occurred?)
 

In Meeting Security Options

Lock Meeting: The host and co-host can use this feature to stop anyone from joining the meeting, even if they have the meeting ID and passcode.

Enable Waiting Room: The host can manage when a participant joins the meeting by using the waiting room function. You as the meeting host have the option of allowing participants in one at a time or holding everyone in the waiting area and allowing them all in at once. Before you set up your meeting, select someone to act as co-host, who can add people from the waiting room after the meeting starts to lessen interruptions and distractions. (Hover over the name of the participant who is going to be a co-host, choose more, select make Co-Host)

Remove Participant: The host or co-host can remove a participant from the meeting using the Remove Participant feature.  Unless you have the "Allow removed participants to rejoin" setting selected, the removed user(s) won't be allowed to rejoin. A red remove button will be visible next to each participant in the list if you choose "Remove Participant.". To remove that specific participant, click this button.

Suspend Participants Activities: Clicking “Suspend Participants Activities” will cease all video, audio, in-meeting chat, annotation, screen sharing, and recording during that time, and breakout rooms will end.

ITS Maintenance Notice: Network Upgrade || Friday, September 9th || 6:15am
 
ITS will be performing an upgrade to the network. During this maintenance, users on campus will experience a five (5) minute network interruption.
 
Note: Virtual Machines and other on-campus systems will continue to function.

ITS Information Notice: Tuesday, September 6th   || 11:00am

User Risk Policy:  As recommended by Microsoft, ITS will be implementing the user risk policy which identifies and reacts to user accounts that might have had their credentials compromised. When your account is identified as being at risk, you may be prompted to create a new password.
 
What can trigger my account to be at risk?
 
  • Users with leaked credentials.
  • Sign-ins from anonymous IP addresses.
  • Impossible travel to atypical locations.
  • Sign-ins from infected devices.
  • Sign-ins from IP addresses with suspicious activity.
  • Sign-ins from unfamiliar locations.

Virtual Desktop upgrade: Our Virtual Desktop Infrastructure (VDI) has now been upgraded to Windows 11.

What is the Virtual Desktop Infrastructure? 

The UNBC Virtual Desktop Infrastructure (VDI), provides instructors, students, and staff access to a Windows 11 desktop. It comes with popular software already installed and can be accessed from any location or device.
UNBC ITS is continuously adding new features to improve the functionality of the virtual desktop; we appreciate your patience and understanding during this transition.
